1. Information We Collect

• Account Information: name, company, email, phone, billing address, and login credentials.
• Project Content: plans, drawings, scope selections, and related files you upload for takeoff and estimating.
• Payment Information: processed by our third-party payment processor (Stripe); we do not store full card numbers.
• Usage Data: log data, device and browser information, and platform activity such as job status and pages visited.
• Communications: messages you send us via email, contact forms, or support requests.

2. How We Use Information

We use the information we collect to provide and improve the Services; generate AI takeoffs and route them for estimator review; process payments and invoicing; communicate with you about your jobs, account, and updates; maintain security and prevent fraud; and comply with legal obligations.

3. AI Processing & Human Review

Uploaded plans are processed by our AI takeoff engine, which uses Anthropic's Claude API, to generate an initial structured takeoff and bill of materials. Every AI-generated takeoff is reviewed and verified by a senior estimator before delivery. As part of this review, authorized senior estimators — including members of our distributed teams in the United States, Vietnam, India, Honduras, and Panama — may access your uploaded plans and generated deliverables solely to perform and quality-check your job.

4. Data Storage & Security

Project data and account information are hosted on Amazon Web Services (S3, ECS, and CloudFront) with a PostgreSQL database. We apply AES-256 encryption at rest, TLS 1.3 encryption in transit, and role-based access controls so that only authorized personnel can access your data. Despite these measures, no system can be guaranteed 100% secure.

5. Third-Party Service Providers

We share information with service providers who support our operations, including Stripe (payment processing), Amazon Web Services (cloud hosting and storage), Supabase (database infrastructure), and Anthropic (AI takeoff generation). These providers are contractually restricted from using your information for any purpose other than providing services to us.

6. Data Retention

We retain project files and account data for as long as your account is active or as needed to provide the Services, comply with legal obligations, resolve disputes, and enforce our agreements. You may request deletion of your data as described in Section 8, subject to legal and contractual retention requirements.

7. Cookies & Analytics

Our marketing site (apasvision.ai) may use cookies or similar technologies for basic site analytics. You can control cookies through your browser settings; disabling them may affect site functionality.

8. Your Rights & Choices

Depending on your location, you may have the right to access, correct, export, or request deletion of your personal information. To make a request, contact us at info@apasvision.ai. We will respond within a reasonable time and in accordance with applicable law.

9. Children's Privacy

The Services are intended for business use by adults and are not directed to children under 16. We do not knowingly collect personal information from children.

10. International Data Transfers

Because our estimating teams operate across multiple countries, your information may be accessed, processed, or stored outside your country of residence. We take steps to ensure such transfers are protected consistent with this Policy.

We may update this Privacy Policy from time to time. Material changes will be reflected by an updated "Effective Date" above and, where required, additional notice will be provided.
